Set up email in new Outlook

The "new Outlook" app on Windows 11 is the streamlined replacement for classic Outlook. The wizard handles most of the setup automatically once you provide a few details. This guide takes about 5 minutes from start to first inbox refresh.

What you need before you start

  • Your full e-mail address (for example you@yourdomain.co.za).
  • Your mailbox password (set in cPanel under E-mail Accounts).
  • Your domain name (used for the IMAP and SMTP server addresses).

Step-by-step

  1. Open new Outlook from the Start menu. If you have not used it before, the welcome wizard will appear automatically. Otherwise click your profile picture top-right and choose Add account.
  2. Type your full e-mail address and click Continue.
  3. New Outlook will recognise this is not a Microsoft 365 account and prompt you to choose IMAP. Pick IMAP (recommended for almost all users - it keeps your mail in sync across every device).
  4. Enter your mailbox password.
  5. Fill in the server settings:
    • Incoming (IMAP) server: mail.yourdomain.co.za
    • Incoming port: 993 (SSL/TLS)
    • Outgoing (SMTP) server: mail.yourdomain.co.za
    • Outgoing port: 465 (SSL/TLS)
    • Username: your full e-mail address
  6. Click Continue. New Outlook will sync the last 30 days of mail by default - you can extend this in the account settings if you need older messages.

Common gotchas

  • Server name typos. Double-check there is no leading www. on the server name. It should be mail.yourdomain.co.za.
  • Wrong password. If you forgot the password, reset it in cPanel - do not use your client area password.
  • Self-signed certificate warning. Should not happen on Trinico Cloud - we issue free Let's Encrypt certificates for the mail subdomain. If you see this, open a support ticket.
